The work
See exactly what you get
Four of the thirteen flags from our sample, built from a public school district chiller replacement RFP. Each one points to its page.
| # | Flag | Why it matters | Page |
|---|---|---|---|
| 4 | Pump scope is ambiguous: "Replace 2 chilled water pumps as an alternate; potentially 4 pumps" | The alternate could double. Ask which alternate line covers pumps 3 and 4. | 3 |
| 6 | Form 1295 instructions cite "RFQ #987-25" | This solicitation is RFP #1000-26. A wrong number on a filed ethics form could make the proposal non-responsive. | 44 |
| 7 | Table of Awarded Points has no band for 14.01% to 15% above low bid | The price score is undefined in that range. | 21–22 |
| 9 | The Exhibit B page is marked "Submit with Part 2" while all others say Part 1; Tab E asks for "Three (2) copies" | The RFP describes a one-part process, and the number of copies is unclear. | 5, 9, 27 |
From the sample review. It was built from a public package whose bid date has passed, not prepared for a client.
The process
How it works
One package at a time, on a clock you can plan around.
- Send the full packageFront end, specifications, drawings and addenda so far, with your bid date. PDFs are fine.
- We read and check itTwo independent reads, every item checked against its page, then a person reviews it before it leaves.
- Your review arrivesIn by noon Central, back by 5 PM Central the next business day. Over 500 pages, we agree the timing first.

Questions
What estimators ask us
Is my bid package kept confidential?
Yes. Your files are used only to prepare your review. Each job is kept separate, nothing from your package is ever shared with another client, and your files are not used to train AI models.
Do you use AI?
Yes. Each package gets two independent AI reads. Every difference between them is settled against the page itself, and a person reviews the finished review before it is sent. AI makes the reading fast; the page references and the review make it checkable.
What if something is missed?
The review is a reading aid, not a substitute for your team's judgment. Every item carries its page so your estimators can confirm it quickly, and they stay responsible for the bid. Our service agreement sets out exactly what we cover.
What do you need from me?
The full package as PDFs (front end, specifications, drawings and any addenda so far) and the bid date. If something is missing, we'll ask before the clock starts.
How do addenda work?
Forward each addendum as it posts. We update the review and tell you what changed by the next business day.
Do you do takeoff or pricing?
No. We read and organize the documents so your estimators can price sooner. Takeoff, pricing and engineering decisions stay with your team.
Who you work with
A person stands behind every review
I'm Sigmund Martinez, owner of Addenda Desk. I started it to give estimators back the days they spend reading bid documents. Every review passes my own check before it goes out, and when you call, you reach me.
